How It Works
A full chain of custody from the moment a job is logged to the moment the sample reaches its destination. No gaps, no ambiguity.
The requesting clinician or admin contacts BMTS by phone, email, or via the BMTS platform. The job is immediately logged — collection point, destination laboratory, sample type, and call grade are all recorded.
The nearest available BMTS driver is dispatched based on call grade. An estimated collection time is calculated and sent by SMS to the requesting party — so clinical staff know exactly when to expect collection without having to chase.
On arrival, the driver scans the consignment point barcode at the collection location. This creates a time-stamped, GPS-verified collection record — matched exactly to the physical location. The sample and any accompanying documentation are taken into custody.
The sample is in transit to the destination laboratory or clinical site. The vehicle is GPS tracked throughout the journey. Transit time and route are recorded as part of the job record, giving a complete audit trail from door to door.
On arrival at the laboratory or destination, the driver scans the consignment point at the delivery location. The GPS coordinates are matched to the scan — confirming the correct location. The recipient's name is recorded. No handwritten signatures are required.
The completed job record — including collection time, transit duration, delivery time, GPS data, consignment scans, and recipient name — is stored in the BMTS platform. Accessible to authorised users at any time. For clients with LIMS or system integration, delivery confirmation can be pushed directly via the BMTS API.
Tracking & Proof of Delivery
Our approach to POD is built around the realities of clinical handovers — fast, accurate, and requiring no equipment from the recipient.
Every collection and delivery is confirmed by scanning the fixed consignment point barcode at that location. The scan is matched to the GPS coordinates of the device — proving the driver was physically at the right place at the right time.
The driver records the name of the person accepting the sample. No signature pad, no paper forms. Faster handovers, no equipment failures, and no illegible signatures to dispute later.
Job logged, driver dispatched, collected, delivered — the requesting party receives an SMS at each milestone. No chasing, no uncertainty about whether a sample has arrived.
Every data point — timestamps, GPS coordinates, scan records, recipient names — is retained in the BMTS platform and accessible to authorised users at any time, including for clinical governance or incident review.
For laboratories and trusts using a LIMS or transport management system, BMTS offers a full API. Delivery confirmations, job status, and audit data can be pushed directly into your system in real time.
Unlike pharmacy deliveries, pathology samples are delivered only to the pre-agreed destination. No mid-transit changes, no redirections. The sample goes exactly where it was requested to go.
Network Infrastructure
For hospitals within the BMTS network, we install fixed consignment point scanners at collection and delivery locations — creating a physical verification layer that ties every job to a precise location.
Consignment point barcodes are physically installed at ward collection points and laboratory reception desks within our network hospitals — eliminating any ambiguity about where a scan took place.
Each scan is cross-referenced against the expected GPS coordinates for that consignment point. A match confirms the driver was physically present at the correct location — not just scanning from outside.
Every consignment scan is linked to the specific job reference — creating a verifiable, timestamped chain connecting the request, the collection point, the driver, and the delivery location.
We work with hospital logistics and estates teams to install and maintain consignment points. If your site isn't yet in the network, we'll get it set up as part of onboarding.
SMS Notifications

Pathology samples are delivered only to the destination specified at the time of the request. There is no mechanism to redirect a sample once it has been collected.

The complete proof of delivery record — timestamps, GPS, scan confirmation, recipient name — is available in the BMTS portal immediately on job close, and pushable to your LIMS via API.
